# Fundamentals

## Overview

The Closeout and Improvement Manager is an AI-powered Digital Worker that runs maintenance work order closeout end-to-end for supervisors, planners, reliability engineers, and asset managers. Instead of a supervisor reviewing every completed task by hand, it validates work against the plan, scores documentation quality, surfaces follow-up work and reliability findings, and orchestrates authorization and closure.

The Closeout and Improvement Manager has the bandwidth to read and review every task in full, not just the ones that look uncertain. Even when every number matches the plan exactly, it still reads the technician’s remarks in full, which is where it catches what a quick glance at matching hours would miss.

## Key Benefits

**Reduced admin effort:** Supervisors focus on reliability, not paperwork, since the Digital Worker handles the review that used to consume their time.

**Faster closeouts:** Work orders close in a fraction of the time it takes to review each one by hand.

**Higher data quality:** Consistent, complete maintenance documentation, evaluated the same way on every task rather than depending on how much time a supervisor had that day.

**Better reliability:** Follow-up work and improvement opportunities are captured systematically, including the ones buried in a technician’s remarks rather than flagged explicitly.

**Stronger governance:** Policies, tolerances, and approvals are enforced consistently across every closeout decision.

## The Challenge It Solves

Managing maintenance work order closeouts is often manual, inconsistent, and time-consuming. Maintenance supervisors spend significant effort reviewing technician work notes, validating reported labor and materials, checking documentation quality, identifying follow-up work, and confirming asset records are complete before authorizing completion.

The result is delayed work order closure, inconsistent documentation, missed improvement opportunities, and reduced visibility into maintenance performance. When the numbers on a task match the plan exactly, a quick look and a pass through the approval queue is commonplace, and given the volume, it’s easy for something to slip through unnoticed, like a follow-up issue mentioned only in passing in the technician’s own words.

## Before and After

### **Before**

Before the Closeout and Improvement Manager, closing out a maintenance work order requires manual effort at every stage:

{% stepper %}
{% step %}
Review the technician’s work notes, remarks, and reported findings by hand
{% endstep %}

{% step %}
Manually validate reported labor and materials against what was planned
{% endstep %}

{% step %}
Judge documentation quality and completeness task by task
{% endstep %}

{% step %}
Look for follow-up work or improvement opportunities buried in free-text notes, often only catching what stands out on a quick read
{% endstep %}

{% step %}
Confirm asset records are complete before authorizing completion
{% endstep %}

{% step %}
Authorize each work task and close the parent work order manually
{% endstep %}
{% endstepper %}

### **After**

With the Closeout and Improvement Manager, the same process runs automatically:

{% stepper %}
{% step %}
Full work context is retrieved for the completed task: work order, asset, technician, and plan details
{% endstep %}

{% step %}
Documentation quality is assessed, scoring the technician’s remarks, actions, and findings for completeness and clarity
{% endstep %}

{% step %}
Planned work is validated against actual: labor, materials, services, and costs checked against configurable tolerances
{% endstep %}

{% step %}
Follow-up work and improvement opportunities are detected, including issues mentioned only in the technician’s own words
{% endstep %}

{% step %}
Maintenance is recommended where needed, raising a work request, fault report, or maintenance change request
{% endstep %}

{% step %}
Work tasks are authorized automatically when every check passes, with exceptions routed for review
{% endstep %}

{% step %}
Asset integrity is validated, tracking serialized install, removal, and return actions
{% endstep %}

{% step %}
The parent work order is closed once every child task and follow-up is accounted for, and a closeout summary is generated
{% endstep %}
{% endstepper %}

## **How It Works**

The Closeout and Improvement Manager follows an eight-step sequence for every completed work task and the parent work order it belongs to.

**Work Context & Validation:** The worker retrieves the work task, work order, asset, technician, and plan details, along with labor, materials, services, tools, measurements, and notes, enriched with the asset’s history and past maintenance context.

**Documentation Quality Assessment:** Technician remarks, action taken, and findings are evaluated. Completed work steps and required fields are validated, documentation completeness and clarity are checked, and a documentation quality score is determined.

**Planned vs Actual Validation:** Reported labor is compared against planned labor, along with materials, services, tools, and equipment. Costs are validated against plan using configurable tolerance rules, and variances and exceptions are identified.

**Follow-up Work & Improvement Detection:** Notes and observations are analyzed using AI to detect new defects, anomalies, or incomplete work, and to identify recurring issues or reliability risks. Follow-up actions or improvement opportunities are recommended.

**Maintenance Recommendation:** A work request or fault report is created for new issues, or a maintenance change request is created for process or plan improvements, routed for approval to the supervisor, planner, or reliability engineer.

**Work Task Authorization:** All validation results are consolidated, and business rules and approval policies are applied. A work task that passes every check is auto-authorized; anything else is routed for human-in-the-loop review.

**Parent Work Order Validation:** The worker confirms every child work task is completed and authorized, checks for pending follow-up actions or maintenance change requests, and validates the asset hierarchy and any serialized component updates before the work order is ready for closeout.

**Work Order Closeout:** A closeout summary is generated with key decisions and insights, the work order status is updated to closed, the audit trail and closeout history are recorded, and notifications are sent via Microsoft Teams and email.

## What Triggers the Closeout and Improvement Manager

**A completed work task:** The worker retrieves full work context the moment a technician completes a work task in IFS Cloud.

**A parent work order nearing closeout:** Once every child task under a work order is authorized, the worker validates the parent order to confirm it’s ready to close.

**A documentation quality check:** Every completed task’s remarks, actions, and findings are assessed for completeness and clarity, regardless of whether the reported numbers already match the plan.

**A variance outside tolerance**: Labor, materials, services, or costs that fall outside the configured tolerance are identified as exceptions requiring review.

**A follow-up or improvement signal in the notes:** Free-text remarks and observations are analyzed for new defects, anomalies, recurring issues, or reliability risks, even when nothing in the structured data flags a problem.
